Important Instructions

Instruction for Software Support Department

  1. As you have assigned the VIDYA ONE Order of any Customer (New or Existing) then instantly send the “Data Request Form” link to customer on his Email ID via your Zoho Account.
  2. Then call the customer and inform him / her that “Respected Sir / Mam, As you have processed the VIDYA ONE order so I have call you regarding it and at first we need some Data for setting up VIDYA One for you.And for that I have send you a Data Request Form link on your mail. Kindly, process the Data Request Form so that we can start the further processing”.
  3. Guide the customer how to fill the “Data Request Form”.
    1. Guide the customer about what data we need for VIDYA-The School Management Software.
    2. And also ask them to download the “VIDYA-The School Management (Software Setup) Sheet” by clicking on the link attached in the Data Request Form.
    3. And then guide the customer how to fill the “VIDYA-The School Management (Software Setup) Sheet” and filling tell them to send it to us at support@vksoft.co.in
    4. Note:- In case of New Customer ask them whether they want the student data to be imported in the Software. If “Yes” then along with “VIDYA-The School Management (Software Setup) sheet also provide them the “”Student Data Import Sheet” and guide them how to fill both the sheets.
      Now communicate with the customer regarding VIDYA School Website
·         Signup (If not done)
·         Branding
·         Data Request and Updation
·         Training
 
5.       Install VIDYA-The School Management Software (For New Customer).
6.       Update VIDYA – The School Management in customers system (For Existing Customer).
7.       During installation guide the customer how to activate their “Payment Gateway Account”
Note:-During Payment Gateway Activation don’t take the customer system online and guide the customer telephonically to activate his Payment Gateway and provide us the Key ID and Key Secret.
8.       After receiving the Key ID and Key Secret properly integrate the Payment Gateway with VSS
9.       After DO SMS account creation perform the following steps
·         Ask the customer to Login his / her DO SMS Panel
·         Guide the customer to do General Settings
·         Generate AuthKey
·         Configure SMS Gateway (in VSS)
·         Provide basic training to the customer of DO SMS and SMS module of VSS
10.   Integrate School Website with VIDYA-The School Management
11.   Note:- Now as you have completed the above mentioned task of the customer then send a mail from your ZOHO Panel along with the details of customer to Admin at advksoft@gmail.com in the following format for “Mobile App Activation”.
12.   As the Mobile App Activation Process has been done by the Admin then call to “Mohtashim Sir” for “APP Module Activation in VIDYA-The School Management”
13.   Now as all the integration, Mobile App Activation, APP Module Activation has been done then “Keep the proper backup of Database and Setup in the Backupà Current Date (i.e.; Date on which you are processing the work) à VIDYA ONE BACKUP à After Integration and APP Activation”
14.   Then process the “APP Setup and Class Fee Setting” work of customer.
15.   Then again “Keep the proper backup of Database and Setup in the Backupà Current Date (i.e.; Date on which you are processing the work) à VIDYA ONE BACKUP à Final Backup”
16.   Then provide the training to customer of “VIDYA Software, Students and Teachers App” by doing the dummy entry on one child in software.
17.   After providing the training tell the customer that “Respected Sir / Mam, As I have provided you the training of VIDYA Software, Students and Teachers App” by doing the dummy entry. And today I am leaving this demo database in your system so that you can also test the features properly.
Also inform them that I have kept your Final Backup and tomorrow (i.e.; on next day) I will call you and after getting your Online Demo data cleared from the Server I will attach the Final Backup of your Database and you can start your working with your real data.
18.   Then Next Day call the customer and after taking the customers system online get the Online Data of customer cleared by informing it to “Mohtashim Sir”. And as you get the reply that the data has been cleared then attach the Final Backup Database of customer and ask him / her to start their working on real data.
19.   Note:- Now as you have completed the above mentioned work of customer then told him that ”Respected Sir / Mam, Your work regarding VIDYA ONE Installation, Setup and integration has been completed and your training has also been completed.
Now, after some time and you will receive a call from our executive regarding the Data Request and Updation of your School Website.
Thanks for your cooperation and support”.
20.   Important Note:- Properly maintain each and every conversation with the customer in the ticket in the same format that has been told to you earlier and send it to customer and in cc sales@vksoft.co.in form your Zoho Panel.
21.   Now create a mail from your ZOHO Panel and send it to Website Support (Mr. Sonu Mishra) at tse2vksoft@gmail.com
Use the following format while forwarding mail to Website Support
·         School Name
·         Email ID
·         Sender ID
·         Contact Person Name (Designation)
·         Contact No

Instruction for Website Support Department
22.   As you have received the mail from Software Support then Create a new ticket of customer regarding “VIDYA School Website Updation” and send them the Data Request on their email id via your Zoho Panel.
23.   Then call the customer and tell them that “Respected Sir / Mam, I have called you regarding the updation of your School Website.
So, kindly provide me the login credentials of your School Website so, that I can update your Website for Students and Teachers Login and for content updation”.
24.   Then check if all the Premium Apps are activated in VIDYA School Website of that customer or not. If not then get all the Premium Apps activated from the concerned team.
25.   Then update the website of the customer and inform him / her about the same. And also provide him / her the proper training of VIDYA School Website.
26.   Important Note:- Properly maintain each and every conversation with the customer in the ticket in the same format that has been told to you earlier and send it to customer and in cc sales@vksoft.co.in form your Zoho Panel.
